As a Customer Service Administrator, you’ll be an important point of contact for customers, helping to ensure enquiries are handled efficiently and that projects and orders progress smoothly from start to finish.

What you’ll be doing

  • Providing professional and responsive customer service to both existing and prospective customers.
  • Managing customer enquiries and ensuring queries are followed up promptly and effectively.
  • Coordinating activities between customers, internal teams and external service providers to ensure work is completed smoothly and on schedule.
  • Processing sales orders accurately and maintaining up-to-date customer records.
  • Preparing quotations and supporting customers with pricing and service information.
  • Handling customer issues and complaints professionally, taking ownership through to resolution.
  • Organising and coordinating site visits, meetings and appointments when required.
  • Supporting the management of breakdowns and service-related issues, ensuring customers receive timely updates.
  • Assisting with incoming telephone calls and ensuring customers receive a friendly and professional first point of contact.
  • Working closely with colleagues across different departments to ensure excellent communication and service delivery.
  • Following established processes while also looking for ways to improve efficiency and customer experience.
  • Maintaining accurate documentation and ensuring relevant compliance and quality procedures are followed.
  • Responding positively and professionally to changing priorities, unexpected situations and new requirements.
  • Contributing to wider team objectives and supporting the smooth day-to-day running of the department.

What we’re looking for

The ideal Customer Service Administrator will be someone who enjoys working with people and takes pride in delivering a high standard of service.

You’ll ideally have:

  • Previous experience in customer service, administration, sales administration or a similar role.
  • Excellent communication skills, both written and verbal.
  • Strong organisational skills and the ability to manage competing priorities.
  • Good attention to detail and a methodical approach to administration.
  • Confidence dealing with customers, colleagues and external contacts.
  • The ability to handle complaints and challenging situations calmly and professionally.
  • Good IT skills and confidence using standard office systems.
  • A proactive approach, with the ability to identify issues and take ownership of finding solutions.
  • Reliability, flexibility and a strong team-focused attitude.

You’ll need to be comfortable working in a fast-paced environment where priorities can change and where providing a positive customer experience is at the heart of the role.
