Import and Export Coordinator in Newcastle-under-Lyme

Appointments Personnel is recruiting for an Import and Export Coordinator in Newcastle-under-Lyme to join a well-established business with its own customs warehouse. If you have hands-on import and export experience, and ideally exposure to bonded warehousing, quotas, tariffs or internal process relief, this could be a strong next step.
The Role
As our client's Import and Export Coordinator, you'll be responsible for despatching customer orders and managing import and export compliance. You'll make sure materials are released, documented and delivered correctly in line with customs, quota and Incoterms requirements. Reporting to the Operations Manager, you'll work closely with the Sales, Purchasing and Warehouse teams as well as customs agents, hauliers and freight forwarders.
Key Responsibilities
- Plan and coordinate the despatch of customer orders, ensuring on-time and in-full delivery.
- Liaise with customs agents, hauliers and freight forwarders to book road, sea and air transport and resolve queries.
- Track shipments proactively, resolving delays and keeping customers and internal teams updated.
- Select and apply the correct Incoterm for each shipment, giving clear instructions to hauliers, customers and colleagues.
- Prepare and check import and export documentation, including commercial invoices, packing lists, certificates of origin and customs declarations.
- Manage the release of material from the customs warehouse, applying import quota entitlement and internal process relief correctly.
- Assess export quota and duty implications to decide whether DDP terms can be offered, working with Sales as needed.
- Maintain accurate records of customs entries, quota usage and shipment documentation to support audits.
Skills and Experience
To be successful in this Import and Export Coordinator role, you'll ideally have:
- Proven import and export experience, with international shipping as a particular strength.
- A solid working knowledge of Incoterms and how they apply in practice.
- An understanding of customs procedures, ideally including bonded warehousing, quotas, tariffs and internal process relief.
- Confidence working with hauliers, customs agents and freight forwarders.
- Strong organisation and attention to detail, especially with documentation.
- Good IT skills, including Microsoft Excel (experience of ERP or warehouse management systems is desirable).
- The ability to make sound, timely decisions under pressure and manage multiple priorities.
- Familiarity with metals distribution, manufacturing or industrial sectors is desirable.
Salary
- Salary of up to £38,000 per annum.
- Permanent, full-time position.
Working Hours and Location
- Monday to Friday, 8.30am to 5pm.
- Full-time, office-based in Newcastle-under-Lyme.
