Operations & Sales Support Coordinator

We are seeking an organised and confident Operations & Sales Support Coordinator to join a busy and fast-paced team. This stand-alone role requires someone who enjoys taking ownership, keeping projects on track, and supporting multiple teams across different sites. You’ll play a key part in ensuring everything runs smoothly behind the scenes, from managing tender submissions to liaising directly with clients and senior management.

A little bit about the role

  • Monitor group sales emails for new enquiries, purchase orders, and updates, distributing and saving as required
  • Manage and monitor online tendering portals
  • Liaise with the Proposals Manager to assign and track bid deadlines
  • Prepare and distribute weekly sales forecast reports to the senior management team
  • Set up quote folders, review tender documents, and prepare deliverable lists
  • Act as the point of contact for the Sales Force CRM system, liaising with the Group CRM Manager
  • Support the sales and operations teams with documentation, meeting organisation, and travel arrangements
  • Participate in and minute meetings (internal and client-facing, both in-person and via Teams)
  • Communicate with clients regarding deadlines, bids, and timeline queries
  • Confidently manage expectations and push back when necessary to ensure smooth operations
  • Provide confidential administrative support to senior management as required
  • Ensure compliance with company QHSE systems and support ongoing business updates

Getting to Know You

  • Strong operations or coordination background – more than just administrative experience
  • Excellent communication skills and confidence liaising with clients and internal teams
  • Organised, proactive, and able to manage multiple projects and deadlines simultaneously
  • Excellent literacy, numeracy, and attention to detail
  • Proficient in Microsoft Office (including Teams)
  • Full driving licence and own transport

Desirable:

  • Experience using Sales Force CRM
  • Familiarity with online tender portals (Achilles, Ariba, Jaggaer, etc.)
  • Understanding of commercial and contractual processes
