Part-Time Receptionist

We are seeking a professional, friendly, and highly organised Afternoon Receptionist to join our head office team at Capula. This role is the first point of contact for all visitors, calls, and general enquiries, playing a key part in ensuring a welcoming and efficient front-of-house service.

The role requires a flexible and proactive individual who is comfortable handling a varied workload, including reception duties, basic administration, and occasional cover for morning shifts during holidays or sickness. The ideal candidate will be reliable, approachable, and able to work calmly in a busy office environment.

Monday to Thursday, 12:00pm–5:00pm, and Fridays 10:30am–3:30pm.

Key Responsibilities

  • Meet and greet visitors and clients in a professional and welcoming manner
  • Answer and direct incoming telephone calls promptly and courteously
  • Manage meeting room bookings and coordinate conference room availability
  • Arrange refreshments and buffet orders for meetings when required
  • Set up meeting rooms, including equipment and layout preparation
  • Manage short-term hire bookings and maintain monthly cost tracking
  • Monitor and respond to fire alarms in line with company procedures
  • Record and report employee sickness to HR or relevant departments
  • Sort and distribute incoming post and prepare outgoing mail
  • Provide general administrative support and assist with ad-hoc office tasks
  • Cover morning reception duties during staff absence when required

About You

The successful candidate will ideally have experience in a reception or front-of-house role and will demonstrate the following:

  • A cheerful, professional, and approachable manner
  • Excellent telephone communication skills
  • Strong organisational skills with good attention to detail
  • Honest, trustworthy, and reliable
  • Ability to work well both independently and as part of a team
  • Flexible attitude to working hours and occasional cover requirements
  • Strong customer service focus and ability to remain calm under pressure
