Production Office Coordinator – Stoke on Trent, Staffordshire – Construction Sector

Are you an organised and proactive professional with a keen eye for detail? We’re looking for a Production Office Coordinator to join a busy, fast-paced team on an 18-month fixed-term contract covering maternity leave. This role is perfect for someone with office administration experience who enjoys coordinating schedules, managing orders, and ensuring everything runs smoothly behind the scenes.

Location: Stoke on Trent, Staffordshire
Working Hours: Monday to Friday, 8.30am – 5pm (45-minute lunch break)
Salary: £25,500 p/h

Key Responsibilities:

  • Provide full clerical and administrative support to the Production Office team, including managing emails, despatch orders, and maintaining records.
  • Update production planners and schedules to ensure orders and paint line planning remain accurate and compliant.
  • Process orders, liaise with procurement and logistics, and manage customer deliveries efficiently.
  • Maintain accurate spreadsheets and computerised records in line with company procedures.
  • Use Sage to manage stock transfers, generate purchase orders, and update completed operations.
  • Provide excellent customer service at all times, responding promptly to calls and enquiries.
  • Communicate effectively with internal teams, visitors, and other offices to support production operations.
  • Act as Non-Conformance Champion, identifying and escalating issues as required.
  • Carry out general clerical duties to support a smooth-running production office.

Ideal Candidate:

  • Experience in office administration with strong organisational skills.
  • Confident and professional communicator, both over the phone and in person.
  • IT literate, proficient in Microsoft Word, Excel, Outlook, and Sage.
  • Able to work independently within a multi-functional team and manage competing priorities.
  • Previous experience in the construction industry is desirable but not essential.
  • Ability to remain calm under pressure and handle challenging enquiries professionally.
  • Motivated, flexible, and willing to learn and develop new systems and processes.
  • Positive, approachable, and able to build strong relationships with colleagues and clients.
