Project Coordinator

We are looking for a highly organised and proactive Project Coordinator to join a busy commercial team and support the efficient delivery of projects within agreed deadlines and budgets. This role is ideal for someone who thrives in a fast-paced operational environment, has excellent attention to detail, and is confident managing multiple projects and stakeholders simultaneously.

A little bit about the role

  • Support the Internal Sales Team in the successful delivery of projects from order through to completion.

  • Manage client orders through to delivery, including raising purchase orders and maintaining accurate project records.

  • Update internal systems and databases (including VP, Allhire, and Evotix) and maintain project folders, confirmations, invoicing, and final client approvals.

  • Coordinate with subcontractors ahead of project installations to ensure readiness and alignment.

  • Manage off-hire and dismantle dates with clients, including issuing final invoices.

  • Provide project costing support for new contracts, tenders, and aftersales projects.

  • Actively promote and sell aftersales projects and services in line with KPI targets.

  • Attend sales, operations, and project meetings as required.

  • Offer technical and project support to Account/Sales Managers and clients when needed.

  • Ensure all client orders are recorded accurately to enable seamless operational delivery.

  • Produce and issue project O&M manuals in a timely manner when required.

  • Provide daily progress updates to the Sales Director and Managing Director.

  • Assist with the integration and role-specific training of new starters.

  • Provide holiday cover for other Project Coordinators when required.

  • Carry out additional duties as requested by the Senior Management Team.

Essential:

  • Previous experience working in a busy commercial, sales, or operational environment.

  • Strong organisational and time management skills with the ability to prioritise effectively.

  • Excellent attention to detail with a proactive and flexible approach.

  • Confident written and verbal communication skills, able to work under pressure.

  • Strong IT skills, including Microsoft Office and PDF systems.

  • Excellent customer service skills with a professional manner.
