Key Responsibilities:
- Manage and log incoming and outgoing project documentation, such as design packs, change requests, quotations, and resource requests.
- Provide administrative support including photocopying, filing, binding, and assisting project teams.
- Raise procurement requests and update material delivery dates when advised.
- Arrange and coordinate project meetings, including booking rooms and sending invites.
- Attend meetings and take minutes when needed.
- Liaise with a range of stakeholders and act as a point of contact for travel and accommodation arrangements related to projects.
- Support coordination of subcontractors and third parties, ensuring schedules and purchase orders are up to date.
- Handle incoming phone calls and pass on messages appropriately.
- Provide occasional cover for reception duties, including greeting visitors and taking phone calls.
Ideal Candidate Profile:
- Strong verbal and written communication skills.
- Previous experience in an office-based administrative role.
- Ability to manage workloads, prioritise tasks, and meet deadlines.
- Proficient in Microsoft Office applications including Outlook, Word, and Excel.
- A proactive attitude with the ability to work both independently and as part of a team.
Desirable (but not essential):
- NVQ Level 3 in Business Administration.
- Experience using PDF software or document control systems.
- Familiarity with engineering documentation such as specifications, drawings, and BOMs.
